Step 1: Log in to MailChimp

Log into MailChimp here:

Step 2: Create campaign

Click the big “Create Campaign” button top left and select “Plain Text Campaign” (plain text campaigns are easier to set up than regular campaigns and are fine for ad-hoc emails.

Click the “View” button under the subscriber total from within the Bloomsbury Speakers Email List which is shown.

Step 3: Choose to send to members only

Click “send to segment” link on the right-hand side of the “Bloomsbury Speakers Emails” list displayed.

Change the segment criteria to:

  • Subscribers match any of the following
  • Type Is Member

If you click “Refresh count” you should get a list of matching subscribers – this number should roughly match the number of members in the club, i.e. around 40. If it’s much less or much more than this you’ve probably done something wrong.

Assuming the count is okay, click “Use Segment”.

Step 4: Add Campaign Info

Complete the following fields on this form:

  • Name Your Campaign – give the campaign an easy to understand name, like “Contest Reminder – 13 August 2012”. (This name is just a label, it’s not sent in the email).
  • Message Subject – this is the subject for the email which will be sent out
  • From Name – can be left as-is
  • Reply-To Email – leave as-is
  • Personalise the “To” field – leave as-is

When you’re happy, click “Next”, top right.

Step 5: Compose email

Replace the standard text template with the simpler version here (you can delete first line if you don’t want to personalise the email):

Update your profile:

Step 6: Preview and send the email

Once you’re happy with the content you can send yourself a test copy of the email using the “Preview & Test” drop-down menu, top right.

When you’re happy, click “Next”.

Review the details to make absolutely sure everything’s as it should be. Check the notes below for emailing etiquette for this list.

Click “Send Now”.

Email Etiquette

Please be mindful when sending emails to members (or indeed anyone on this list) that we do not want people to feel they are being spammed.

Subscribers to the list will already be receiving meeting reports and monthly newsletters so any email sent in addition to these need to be carefully chosen.

Acceptable uses include:

  • Important information from President or VPE relating to the club, e.g. contest information, changes to fees
  • Very occasional ‘plugs’ for events outside the club, e.g. workshops (normally this would be done in the newsletter)

Basically, please just respect the list and the permission that people have given them to send them information.
