Step 1: Login to WordPress
Log in to WordPress as the ‘scribe’ user here:

Step 2: Create a new post
From the Dashboard, select “Add New” under the “Posts” menu in the left-hand column.
Where it says “Enter title here” in grey, enter a title for the meeting report, e.g. “Meeting Report for 13 August 2012”.
In the right-hand column under “Categories” ensure the “Meeting Reports” category is ticked. If the “Uncategorized” category is ticked, untick it.
Click the “Visual” tab in the top-right hand corner of the text box underneath to make sure you are working in rich text mode (instead of raw HTML).
Type (or paste) the contents of the meeting report into the text box and use the controls above the box to make sure that everything is formatted correctly.
In particular, watch out for any punctuation characters that have not transferred correctly via copy and paste. Also make sure you delete any indents before paragraphs or extra spacing between them.
(If you know some HTML you can always switch to the HTML mode to tweak the formatting.)
Step 3: Preview the post
Click “Save Draft” at the top of the right-hand column, then click “Preview” to see what the post will look like when it is published.
If you spot any problems, go back to the Edit Post page and make corrections.
Once you have made the corrections, “Save Draft” and “Preview” again.
Step 4: Publish the post
Once you are happy with how the post will appear, you can click the “Publish” button in the right-hand column.
If you spot a mistake after publishing, you can still edit the post via the “All Posts” link under the Posts menu.
Step 5: Check the post has been published correctly
If you go to the front page of the website, the new post should appear as the top link under “Recent News” in the right-hand column. Click this link and make sure it leads to the page you’ve just published.
Step 6: Email report to the mailing list
This is done automatically by the MailChimp software. This is how it works…
Any new blog post published under the category “Meeting Report” will be sent out at midday. If the post is not published until after midday, then it will be sent out the next day.
NOTE: You cannot unsend any emails that have been sent by MailChimp, so make sure you have thoroughly proofread any published report before midday. It is recommended that you get someone else to read it to as it’s easy to miss things.
